Clicks IT Recruitment is proud to be partnering with City of Kingston Council to appoint an Information Management Analyst within their Information & Digital Technology team.
This is a great opportunity for a records, information governance professional to help strengthen Council's digital information environment through modern, efficient and compliant records and information management practices. The role sits within the Records & Data team and reports to the Head of Records & Data.

Located approximately 20 kilometres south-east of Melbourne's CBD, the City of Kingston is a diverse and growing municipality, home to more than 166,000 residents, significant foreshore, green spaces, community facilities and one of Victoria's major employment centres.
About the Role
As the Information Management Analyst, you will support the governance, accessibility, accuracy and security of Council's information assets across digital platforms.
You will work closely with business units, technology teams, vendors and the Cyber Security team to improve information management processes, optimise system use, support compliance obligations and build organisational capability.
This role will suit someone who enjoys combining governance, systems, stakeholder engagement and practical service improvement.
Key Focus Areas
- EDRMS administration, configuration and support
- SharePoint and Microsoft Teams governance
- Microsoft 365 information lifecycle management
- Metadata, taxonomy and classification standards
- Information audits, clean-up activities and lifecycle reviews
- Retention, disposal and compliance obligations
- eDiscovery search, retrieval and export processes
- Information Asset Register maintenance and data integrity
- Automation, AI, integration and process improvement opportunities
- Training, stakeholder engagement and change enablement
- Security, privacy, risk and governance alignment
You will bring:
- Tertiary qualification in information management, records management, business analysis or a related discipline, with post-qualification experience; or a lesser formal qualification with substantial experience in a related field.
- Specialist knowledge of contemporary records and information management principles, standards and legislation, including the Public Records Act 1973 (Vic) and PROV standards.
- Demonstrated ability to configure, administer and optimise enterprise information management systems, including an Electronic Document and Records Management System (EDRMS).
- Demonstrated ability to build and maintain positive working relationships across business units, fostering collaboration and trust.
- Demonstrated ability to conduct information audits, lifecycle reviews and clean-up activities to maintain integrity, accessibility and compliance.
- Strong communication skills, with the ability to engage technical and non-technical stakeholders
- A continuous improvement mindset, with the ability to identify practical opportunities to improve systems and processes.
- Strong documentation, training and stakeholder support skills.
- Ability to work in a structured environment using ticketing systems, change control and documented workflows.
- Experience with eDiscovery, information security, privacy, data protection, automation, AI or system integration will be highly regarded. Experience in local government or another regulated public sector environment will also be advantageous.
- ITIL Foundation certification or working knowledge of ITIL processes is also desirable.
